How it works
Each day's hours are the end time minus the start time, minus unpaid break minutes. Overnight shifts count through midnight. Each week is totaled on its own, and only hours over the limit within that week count as overtime. Two 42-hour weeks give 4 overtime hours, but a 50-hour week and a 30-hour week give 10, even though both add up to 80.
Overtime = (week 1 hours − 40, if above 0) + (week 2 hours − 40, if above 0)
Worked example
Week 1: Monday to Friday 8:00 AM to 4:30 PM with 30 minutes for lunch = 40 hours. Week 2: the same plus Saturday 8:00 AM to 1:00 PM = 45 hours. The pay period is 85 hours, 5 of them overtime. At $18 an hour: 80 × $18 + 5 × $27 = $1,575.00.
Frequently asked questions
Why is overtime calculated per week and not per pay period?
US federal law looks at each 7-day workweek on its own. You can't average a long week with a short one to avoid overtime.
What's the difference between biweekly and semimonthly?
Biweekly is every two weeks (26 paychecks a year). Semimonthly is twice a month, often the 15th and the last day (24 paychecks). This sheet covers two full weeks.
How do I enter a night shift?
Type the real times, for example 10:00 PM to 6:30 AM. When the end is earlier than the start, the shift counts through midnight.
